This Privacy Policy explains how our C&R Prod Integration App (the “App”) collects, stores, processes, and protects invoice and payroll data obtained from QuickBooks Online (QBO) as part of C&R Fleet Services’ business operations.

This policy applies solely to the C&R Prod Integration App and does not cover data collection on C&R Fleet Services’ public website or other business operations.

Data Processing as Part of Business Operations

2. INFORMATION WE COLLECT

The App retrieves and processes business transaction data from QuickBooks Online, specifically:

  • Invoice Data: Transaction details, billing amounts, service dates, and customer account information.
  • Payroll Data: Employee compensation records, payroll history, and tax-related details.

The data is not modified by the App; it is solely retrieved and stored for internal operational use.

We do not collect or process:

  • Personal user registration details (e.g., usernames, passwords).
  • Browser cookies, tracking technologies, or advertising identifiers.

3. HOW WE PROCESS YOUR DATA

The C&R Prod Integration App facilitates internal financial and operational processes by:

  • Retrieving invoice and payroll data from QuickBooks Online.
  • Storing this data securely in our Azure-hosted data lake for internal reporting and reconciliation.
  • Ensuring accuracy in financial and payroll data management.
  • Not modifying, altering, or sharing the data beyond internal business needs.

4. DATA STORAGE AND SECURITY MEASURES

All retrieved data is permanently stored within our Azure-hosted data lake for financial record-keeping and operational reporting.

To protect this data, we implement industry-standard security measures, including:

  • Encryption of data at rest and in transit.
  • Role-based access controls to restrict data to authorized personnel.
  • Audit logs to track data access and modifications.
  • Regular security reviews to ensure compliance with best practices.

While we follow strict security protocols, no system is entirely immune to security risks. If you suspect unauthorized access, please contact us immediately.

5. DATA ACCESS AND RETENTION

Access to the data is strictly limited to:

  • C&R Fleet Services’ internal teams, including Finance and Operations.
  • Authorized IT personnel responsible for maintaining system integrity.

The data is retained indefinitely for business and legal compliance purposes unless removal is required by law or a verified data request.

6. DATA SHARING AND THIRD-PARTY DISCLOSURE

We do not sell, trade, or disclose invoice or payroll data to third parties. Data may only be shared in these limited circumstances:
